DELEGATES REGISTRATION

  • Students/Retired registrations, Associated Societies Member registrations, and Non Members registrations include
- the attendance to the sessions (regular and convened) from Monday 20 March to Friday 24 March, 2017 morning;
- access to the exhibition from Monday 20 March to Thursday 23 March, 2017;
- a copy of the conference proceedings;
- the attendance to the Welcome Reception on Monday 20 March;
- the morning and afternoon refreshments and the luncheons from Monday 20 to Thursday 23 March, 2017.
Associated Societies are: EurAAP, AMTA, IEEE, IET, EuMA

The Student Fee applies to Young Researchers up to 30 years old; The Retired Fee applies to Retired colleagues. Justifications may be requested.

  • Consecutive 2 Days Registration includes: 
- the attendance only to the sessions related to the consecutive 2 days selected (Monday 20th/Tuesday 21st, Tuesday 21st/Wednesday 22nd, Wednesday 22nd/Thursday 23rd, or Thursday 23rd/Friday 24th) ;
- the morning and afternoon refreshments, the luncheons of the days selected.
The Welcome Reception is included in the Monday 20th/ Tuesday 21st Consecutive 2 Days Registration.

The Consecutive 2 Days Registration does not apply as author’s registration

 Please note that the indication of the real dates of attendance while registering is required, in order to avoid the waste of food

AUTHORS REGISTRATION

  • At least one of the authors of each paper must register for the full conference and it is not possible for any person to register more than two papers in his/her name as "presenting author". "No shows" or lack of registration fee payment will inhibit publication in the online proceedings. This is valid for regular as well as convened session papers.
  • The full conference registrations eligible to cover a paper are Member or Non-Member or Student or Retired Registrations. The Consecutive 2 Days registration is not valid for authors or for presenters to cover a paper. 
  • The full payment of the Registration must be done no later than January 13th, 2017 to validate the registration. We recommend you to use the secure online payment by credit card available with the online registration system. Should you pay with a bank transfer, the payment must have reached the EuCAP 2017 bank account no later than January 13th, 2017
  • If a paper is not covered with a full conference Delegate Registration with a payment completed by January 13th, 2017, it will be withdrawn from the Technical Programme; no exception will apply.
  • A full conference Delegate Registration will cover up to 2 papers only. In case of multiple accepted papers presented by the same author (over 2 papers), another full conference Delegate Registration must be done and paid to cover additional papers. Please note that it is preferable to limit the numbers of presentations to 2 papers by a presenter to ensure a compatible schedule of presentations.
  • Each author/co-author wishing to attend the conference must be registered.
  • This author registration policy applies to the regular sessions and convened sessions
  • Please note:  authors’ registrations are non-refundable.

SHORT-COURSES REGISTRATION

The registration to the Short-Courses is part of the conference registration procedure.

The registration to short-courses is not included in the Delegates Registration and must be done online.

The short-courses will be held on Friday 24 March, 2017 afternoon.

Under a minimum of 5 attendees registered to a short-course, the short-course may be cancelled by the organizers. The decision will be taken by February 10th, 2017.  In case of a cancellation by the organizers, the registration fee will be refunded to the delegate with no other compensation.

Each Short-Course is half-day long (3 hours) and the registration includes attendance to the short-course, dfelivery of a handbook, afternoon refreshments, and the Friday luncheon (lunch box).

EXHIBITORS AND SPONSORS REGISTRATION

Exhibitors and Sponsors can register to EuCAP 2017 using their Discount Codes provided to them in order to access the free or discounted registrations included in their Exhibition or Sponsors Package. 

  • Exhibitor Delegates Registration includes:
- the attendance to the sessions (regular and convened) from Monday 20 March to Friday 24 March, 2017 morning;
- access to the exhibition from Monday 20 March to Thursday 23 March, 2017;
- a copy of the conference proceedings;
- the attendance to the Welcome Reception on Monday 20 March;

- the morning and afternoon refreshments and the luncheons from Monday 20 to Thursday 23 March, 2017.

  • Stand Personnel Registration (80 € per day) includes:

Access to the exhibition area, morning and afternoon refreshments and the luncheons of the day(s) selected. The Welcome Reception on Monday 20 March, 2017 is included in the Stand Personnel Registration when selected for that day.

  • Exhibition Visitor Registration (80 € / 90 € per day) includes:

Access to the exhibition area, morning and afternoon refreshments and the luncheons of the day(s) selected. The Welcome Reception on Monday 20 March, 2017 is included in the Exhibition Visitor Registration when selected for that day.

SOCIAL PROGRAMME REGISTRATION

The attendance to the Social Events must be booked by the online registration procedure. 
The Welcome Reception is included in the Delegates and Exhibitors / Sponsors Registration. For the Daily Registrations (2 Consecutive Days Registration, Visitors & Stand Personnel Registration), the Welcome Reception is included only if the day selected is Monday 20 March, 2017.

Touristic tours and sightseeing of Paris are part of the Social Programme proposed to the delegates but must be booked directly with the partners selected (see the Tours page)

  • The Conference Banquet - Wednesday 22 March, 2017 – 80 €
It will be held at the Pavillon Royal on Wednesday 22 March, 2017. Transfer to the Pavillon Royal is included.

The Conference Dinner can be purchased online at the price of 80 €. Seats are limited and the bookings will be confirmed on a first-come, first-served basis.

  • Get-together dining in a Parisian Restaurant - Thursday 23 March, 2017– 35 €

The dinner will be held at the charming “Noces de Jeannette” Restaurant. It includes the full dinner with beverage (see the Social Programme Page) and can be purchased at the price of 35 €. Transfers to and from the Restaurant are not included. Seats are limited and the bookings will be confirmed on a first-come, first-served basis.

  • Guest Registration

Guests (one or more) can be added during the online registration. Only after clicking on "Guest Registration", the registrant can buy the  Welcome Reception and/or Conference Dinner and/or the Get-together Dinner at a Parisian Restaurant for her/his Guest(s). The Guest does not have access to any area of the conference.

REGISTRATION PAYMENT

  • We recommend you to use the secure online payment by credit card available with the online registration system.
  • Should you pay an early-bird registration with a bank transfer, the payment must have reached the EuCAP 2017 bank account no later than January 13th, 2017.  Any payment received after this date will be considered late and extra fees will apply. An additional fee of 12 € (VAT included) will be charged automatically for a payment with a bank transfer.
  • Purchase orders are not allowed whatever the country of the participant and whatever the time of registration.
  • Payments after the conference are not allowed. Entrance to the conference sessions will be denied to anyone without a paid registration.

ADDITIONAL INFORMATION

QR - CODE  

The EuCAP2017 badges will show a QR-CODE to identify the conference attendees. Upon the reading of the QR-code, the Exhibitors will access the Name, Surname, Institution, Department, Country and Email of the attendee.

TECHNICAL TOURS

Registration to the Technical Tours will be available on-site at the conference at no cost, sponsored by AMTA. An email will be addressed to the registered delegate with further information.

INVITATION LETTERS

Letters to help for visa applicant to EuCAP2017 can be requested to the registration office eucap2017@b2c-congress.com  once the registration has been fully validated and paid. See Visa Information Page.

CHANGES TO YOUR REGISTRATION

Additional purchases or changes to your registration can be done later, by logging in using the mail address/password provided during the first registration access.

CANCELLATION POLICY

All refund/cancellation requests must be provided via email to eucap2017@b2c-congress.com and must be received by Friday 19 February, 2017.  No refunds will be provided after this date. 

In the event of cancellation, provided that written notice is received by email at eucap2017@b2c-congress.com before 19February, 2017, the registration fee will be refunded minus a handling fee of 60 Euros (VAT included). If cancelling after 19 February 2017, no refund will be made.

Please note:  authors registrations are non-refundable. 

DISCLAIMER

In case of reasons beyond the control by the conference organizers, EurAAP has the right to immediately alter or cancel the Conference or any arrangements, timetables, plans or other items relating directly or indirectly to EurAAP. The participants shall not be entitled to any compensation for damage that results from such alteration or cancellation. Furthermore, with the exception of any willful damage or gross negligence committed by EurAAP, EurAAP shall not at any time be liable for any direct or indirect damage suffered by the participants, including consequential and immaterial damage, caused by failure to comply with any provision of this document.

The information that you provide to EurAAP will be used to ensure we provide you with products and services that best meet your needs. This may include the promotion of EurAAP products and services by post and /or electronic means. Your information will also be used to produce event materials, including badges.
